DATA PRIVACY NOTICE

Personal data – what is it?

Personal data is any information about a living individual
which allows them to be identified from that data (for
example a name, address, email address, photographs or
videos). Identification can be by the information alone or
in conjunction with any other information. From 25 May
2018, the processing of personal data is governed by the
General Data Protection Regulation (GDPR).

Who are we?

This Privacy Notice is provided by the Committee of St
Peter’s Consort (hereafter, SPC) which is the data
controller for your data (contact details below). This
means it decides how personal data is processed and for
what purposes.

How do we process your personal data?

SPC will comply with its legal obligations to keep personal
data up to date; to store and destroy it securely; to not
collect or retain excessive amounts of data; to keep
personal data secure, and to protect personal data from
loss, misuse, unauthorised access and disclosure and to
ensure that appropriate technical measures are in place to
protect personal data.

What data does the data controller listed above
process?

SPC may process some or all of the following: names,
titles, email addresses, postal addresses, telephone
numbers, photographs, video images and payment /
transaction identifiers such as names and bank account
numbers.
SPC uses personal data for the following purposes
• to administer membership records;
• to promote the interests of the group: this includes
taking photographs and video images which may
appear on our website or in printed or electronic
form, including social media platforms;
• to maintain its own accounts and records;
• to inform singing members and friends of SPC of news,
events and activities of SPC and Making Music to
which it is affiliated.

What is the legal basis for processing your personal
data?

The GDPR states that explicit consent of the data subject
is required so that SPC can keep its members and friends
informed of news, events, and activities of SPC and
Making Music. Data is processed in order for the group to
carry out its legitimate interests.

Sharing your personal data

Personal data will be treated as strictly confidential. SPC
will not share personal data with third parties unless there
is either a legal basis to do so or you you first give us your
prior consent.

How long do we keep your personal data?

In general, SPC will only keep personal data for as long as
you remain in the membership of or as a friend of SPC.
This means that we will delete it when it is no longer
needed. Email enquiries will be deleted one month after
they have been resolved. Some records may be kept for
an extended period of time. For example, it is current
best practice to keep financial records for a minimum
period of 7 years to support HMRC audits.

Your rights and your personal data

Unless subject to an exemption under the GDPR, you have
the following rights with respect to your personal data
• the right to request a copy of your personal data
which SPC holds about you;
• the right to request that SPC corrects any personal
data if it is found to be inaccurate or out of date;
• the right to request your personal data is erased
where it is no longer necessary for SPC to retain such
data;
• the right to withdraw your consent to the processing
at any time;
• the right, where there is a dispute in relation to the
accuracy or processing of your personal data, to
request a restriction is placed on further processing;
• the right to lodge a complaint with the Information
Commissioner’s Office.

Further processing

If SPC wishes to use your personal data for a new purpose,
not covered by this Data Privacy Notice, then we will
provide you with a new notice explaining this new use
prior to commencing the processing and setting out the
relevant purposes and processing conditions. Where and
whenever necessary, we will seek your prior consent to
the new processing.

Our data policy will be reviewed annually.

Website cookies

SPC’s website employs cookies which are used for
functionality, performance, statistics and marketing, and
the data collected is shared with GDPR-compliant third
parties such as Google Analytics and YouTube in addition to
the domain’s own server.
